Sound familiar?

AI works better when it knows your business

Good AI starts with context: what you sell, who your customers are, how you work and which agreements apply. I make your knowledge, agreements and way of working available for the tasks AI performs, so the work fits your business without explaining everything again.

Explaining it all again

You paste the same context into ChatGPT or Copilot.

Fixed sources and instructions for your task.

It sounds good. But is it right?

The text is generic, misses your agreements or invents details.

A draft from your own information, with a focused review.

Another tool. Still manual work.

You copy the result into email, Excel or your CRM yourself.

A workflow through to the place where you use the result.

How it runs in practice

An enquiry for three window frames, from form to quote

A carpentry firm with four people receives an enquiry through its website on a Tuesday. This is how it moves through the workflow.

01

Incoming. At 08:15 a homeowner asks for a price for three uPVC window frames at the back of the house. She attaches two photos and would like the work done before summer.

02

AI prepares. AI builds an intake card: three frames, rear wall, uPVC, wanted before summer. The postcode is inside the service area. The width of the right-hand frame is missing, and the photos do not show whether a tilt-and-turn window is needed.

03

AI prepares. A reply to the customer is ready with those two questions. It contains no price yet, because a price could not be right at this point.

04

You check. The owner reads the email, adds an offer to come and measure, and sends it himself.

05

AI prepares. On Thursday the measurements arrive. The pricing rules in the quoting software calculate the amount: €4,860 excluding VAT for frames, fitting and removal of the old ones. AI writes the description and shows which price rule sets each amount.

06

You decide. The customer asks for a 10 percent discount if she signs before 1 May. AI does not apply it but puts it at the top as a decision point. The owner declines the discount and offers a fixed fitting week instead.

07

Where it stops. Once the quote is sent, the workflow sets a follow-up date eight days later. If there is no reply, a short follow-up is ready for the owner to send. Had a measurement been missing, no draft quote would have appeared: the route stops at the question to the customer.

Two examples

Useful across different kinds of work

01

A painter receives photos and a question about a facade. AI creates an intake card listing missing dimensions; the painter decides whether to visit.

02

A consultant receives a long brief. AI gathers the request, scope and open questions. The consultant chooses the approach and approves the quote.

Questions about sales

Does AI calculate the price in my quote?

No. The price comes from your own price list or quoting software, using fixed calculation rules. AI writes the description, lists the open points and shows which rule sets each amount. You check the quote and send it.

What happens when an enquiry is too vague for a quote?

Then the workflow does not produce a draft quote. AI prepares an email with the open questions, such as measurements, materials or the preferred date. The enquiry only moves on once the answers are in.

Can AI follow up my quotes automatically?

AI suggests a follow-up date and prepares a short message. Sending it stays with you. You sometimes know more than the system, such as a phone call or a customer who has already said no.
